Exhibition Stand Hire or Buy? The Three-Year Calculation
Exhibition stand hire or ownership? The honest answer is not that hire is cheap and buying is expensive. The decision rides on 4 inputs, shows per year, how long the brand identity stays fixed, whether the footprint changes between venues, and who carries storage and repair.
Most companies decide on the first invoice and regret it by the 3rd show. The two paths only separate at year 3, which is exactly when nobody is still looking at the spreadsheet. This is the calculation, with the lines most quotes leave out.
At a glance
Exhibition stand hire suits 1 or 2 shows a year, a new market where lead value is still unknown, or venues that hand you a different stand size every time. Ownership suits 4 or more shows a year with a stable footprint and an identity that will not change for 3 years.
The crossover usually lands between the 3rd and the 5th show. Below it, hire is cheaper in cash terms. Above it, ownership wins, but only once you have counted storage, refurbishment and the shows you actually book rather than the ones in the plan.
Two numbers to benchmark every hire quote against:
- A 60 sqm modular build runs 16,000 to 28,000 EUR
- Each reuse of that stand costs 1,800 to 3,200 EUR in logistics

When exhibition stand hire wins
Exhibition stand hire is the right call when any 2 of these are true:
- 1 or 2 shows per year. Not enough repetition to amortise a build
- A new market. You do not yet know what a qualified lead is worth there
- Different stand sizes. Each venue hands you another shape
- A brand about to change. New identity or product line inside 24 months
- No internal owner. Nobody carries logistics, storage and repair
Hire converts a capital decision into a per show operating cost. You pay once, you walk away, and nothing sits in a warehouse depreciating between events.
For a first international show it is usually the correct trade. You are buying information as much as a structure. Until you know your cost per qualified lead at that specific show, committing capital to a permanent build is guessing with a larger number.
When buying wins
Ownership is the right call when all 5 of these hold:
- 4 or more shows a year already in the calendar
- A repeating footprint across venues
- A fixed identity for at least 3 years
- An internal owner for the asset
- Realistic reuse, not aspirational reuse
That last condition fails most often. A stand bought for 6 shows a year and used for 2 costs more per show than any hire quote. The asset did not fail. The calendar did.
Ownership also buys control. Your stand is built once to your specification, so the finish, the lighting and the storage boxes are yours. Our exhibition stands service page covers what that specification process involves.
The 3 year calculation
Two formulas, both short:
- Total hire cost = hire fee per show × shows over 3 years
- Total ownership cost = build + (storage × 36 months) + refurbishment + (logistics per show × shows)
Fill in your own numbers. The table is deliberately blank, because the only quote that matters is the one on your desk.
| Cost line | Hire | Own |
|---|---|---|
| Fee or build cost | ||
| Shows in 3 years | ||
| Storage per month | n/a | |
| Refurbishment | included | |
| Logistics per show | usually included | |
| Graphics reprint | usually included | |
| 3 year total |
Read it this way. If an exhibition stand hire fee per show sits close to the 1,800 to 3,200 EUR reuse figure, ownership wins quickly, because you are paying nearly the reuse cost without owning anything. If the fee sits well below it, hire holds longer than most people expect.
What a hire quote should include
5 elements make up a complete exhibition stand hire package:
- Structure
- Graphics production
- Transport both ways
- Installation
- Dismantling
Furniture, AV, lighting and flooring are commonly quoted separately, and that is where 2 quotes for the same stand diverge by 30%. Ask which of the 9 items are inside the number before you compare anything.
Ask in writing. A quote listing 5 inclusions and a quote listing 9 are not the same product, even when the headline figure matches.
The 5 cost lines nobody quotes
- Stand space rental from the organiser, separate from the stand and often the largest single line
- Electrical connection and daily power, billed by the venue
- Rigging, if anything hangs
- Hall cleaning during build up and show days
- Waste removal after dismantling
These sit outside both hire and ownership, so they do not change the comparison. They do change the budget, and they are the most common reason a first show runs over. Our logistics and installation team quotes them explicitly rather than leaving them to appear later.
Storage and refurbishment, the lines that decide it
Storage is the cost that turns a good ownership case into a bad one. A 60 sqm modular stand occupies real warehouse space for the 11 months a year it is not at a show.
Refurbishment is the second. Graphics date faster than structure. Panels scuff, LED strips fail, and a stand that looked current in year 1 reads tired by year 3. Budget a graphics refresh every 12 to 24 months regardless of which path you choose.
On an exhibition stand hire agreement both lines sit with the supplier, which is most of the reason the per show fee looks high next to a logistics figure. You are not comparing like with like unless you add them back.
The hybrid play
Own the core, hire the rest. A modular core you own carries the identity and travels. LED walls, furniture, AV and lighting come in per show as hire items, sized to the venue.
This is what companies with a mixed calendar settle on, because it fixes the brand and keeps the variable part variable. It also solves the footprint problem, since the core reconfigures and the hired elements fill whatever space the hall gives you.
We build hybrid configurations on Aluvision framing, the system that makes reconfiguration practical rather than theoretical.
How Cool Promotions handles both
We produce in our own facility, so the same team designs, manufactures and installs. There is no subcontracting chain between your brief and the person on the hall floor.
You own what we build for you. Storage is free for the first 24 months, then 200 EUR per month if you want us to keep holding it.

Frequently asked questions
Is exhibition stand hire cheaper than buying?
For 1 to 3 shows, yes, in cash terms. Past the 3rd or 4th show the ownership path usually costs less per show, provided reuse actually happens and storage is counted.
What is normally included in an exhibition stand hire fee?
Structure, graphics production, transport, installation and dismantling. Furniture, AV, lighting and flooring are commonly quoted separately. Always ask which are in the number.
Can I buy a stand I originally hired?
Sometimes, on a modular system. Ask before the 1st show rather than after, because a purchase credit is easier to negotiate up front.
Who owns the stand after we build it?
You do. Cool Promotions stores it free for the first 24 months, then 200 EUR per month.
How far ahead should I decide between hire and purchase?
9 months before a major European show. A modular build needs 4 to 6 weeks of production, but stand space and hall logistics are booked much earlier.
Does exhibition stand hire work for a 100 sqm island stand?
Yes, though the economics shift. Above roughly 80 sqm the hire fee climbs faster than the build cost, so the crossover moves closer to the 2nd or 3rd show.
