Custom exhibition stands or modular exhibition stands?

Custom or modular exhibition stand for European shows in 2027? The honest answer is not custom is premium and modular is cheap. The decision rides on five inputs, shows per year, reuse goal, brand tier, lead target, three year CAPEX vs OPEX.

After 500+ builds we have seen the wrong choice burn 30,000 to 80,000 EUR inside 18 months in both directions. Here is how to decide right the first time.

At a glance

For a 60 sqm stand, custom first build costs 32,000 to 78,000 EUR, modular 16,000 to 28,000 EUR. The gap widens at reuse. Each new show on a custom path costs 26,000 to 40,000 EUR because the stand is rebuilt. Each reuse show on a modular path costs 1,800 to 3,200 EUR in logistics only.

Custom delivers a one of one signature build. Modular delivers branded panels on a standard frame, near identical to custom at aisle viewing distance with the right finishes. Reuse over 3 years lands at 0 to 2 shows for custom, 8 to 18 shows for modular. Build time is 10 to 18 weeks for custom, 4 to 6 weeks for modular.

When custom wins

Custom is the right call when three conditions overlap, brand tier requires it, the show is a flagship moment, lead value justifies the spend. Luxury, automotive, big tech, premium pharma sit in that bracket. A modular stand at IAA Mobility or Premiere Vision Paris signals second tier even with a best in class product.

Flagship shows that earn custom spend are 1 to 2 per year, the shows that book 60 percent of annual qualified leads. At that profile a 50,000 to 100,000 EUR investment per show pays back inside the year. When the average deal sits above 50,000 EUR, five contracts from one custom stand cover the build at full margin.

When modular wins

Modular is the right call when consistency, reuse and cost per lead matter more than uniqueness. For 4+ shows per year across Frankfurt, Cologne, Verona, Milano and Barcelona, modular gives the same brand experience every time, with logistics under 3,000 EUR per show after the initial build.

For 3 to 5 year horizons, modular reuse pays back in 4 to 6 shows. Mid market deals from 5,000 to 50,000 EUR need volume of leads, not premium positioning, which keeps modular cost per lead at 25 to 50 EUR versus custom at 90 to 430 EUR.

Cost comparison over 3 years

For a 60 sqm stand attending 4 shows per year at mid market positioning:

Custom path, 4 builds at 45,000 EUR per year = 180,000 EUR per year, three year total 540,000 EUR.

Modular path, year one 22,000 EUR build plus 8,800 EUR logistics. Year two 8,800 EUR logistics only. Year three 8,800 EUR logistics plus 4,000 EUR graphics refresh. Three year total 60,400 EUR.

Custom costs 9x more at this volume. If shows are flagship and deals above 50,000 EUR, the 540,000 EUR can return 5,000,000 EUR or more in pipeline. Modular at 60,400 EUR rarely scales above 600,000 to 1,200,000 EUR pipeline for the same square meters. For the full breakdown, see our exhibition stand cost guide.

The 5 question decision framework

1. How many shows per year for the next 3 years? Under 2 = custom. 3+ = modular.

2. Does brand position require unique build at flagship shows? Yes = custom for the flagship, modular for the rest. No = modular for all.

3. What is your average deal size? Above 50,000 EUR = custom pays back. Below 20,000 EUR = modular only.

4. Do you have 12+ months lead time? Yes = custom feasible. Under 12 weeks = modular only.

5. CAPEX or per show OPEX? CAPEX view favors modular. Per show OPEX with marketing budget works for either.

The hybrid play

The smart strategy is not custom versus modular. It is custom at one flagship per year, modular at four to eight secondary shows. Hermes, Coca Cola, Klarwin and Ploom run this hybrid. Premium positioning where it matters, cost discipline at the rest.

Design quality stays consistent when the same builder handles both. The design playbook from the two second visitor decision guide carries from custom flagship to modular regular.

Frequently asked questions

Is a modular exhibition stand less premium than a custom one? Not in 2026. High end modular with CNC graphics, LED integration and premium finishes looks near identical to custom at aisle viewing distance.

How many times can a modular stand be reused? 8 to 18 shows over 3 to 5 years. Frames last 10+ years, graphics need refresh every 12 to 24 months.

Can a custom stand be partially modular? Yes. A hybrid build uses modular core with custom front facade, LED wall and reception. Cuts cost 25 to 40 percent versus full custom.

What is the lead time for a custom stand at a major European show? 10 to 18 weeks. Book 9 months ahead for IAA Mobility, Mobile World Congress, Premiere Vision Paris.

Who owns the modular stand after build? You do. Cool Promotions stores it free for the first 24 months. After that, optional storage at 200 EUR per month.
