Which Exhibition Stand Builder Actually Builds Your Stand

The most useful question you can ask an exhibition stand builder is not what it costs. It is where my stand actually gets built.

Plenty of companies that sell exhibition stands do not build them. They do the design and pass the work on. There is nothing wrong with that in itself. It becomes a problem the evening before the show opens, when something does not fit and nobody knows who decides.

Which parts are made in their own workshop

Ask it exactly like that, word for word. Which parts of my stand are produced in your own workshop, and which parts go to third parties?

A builder who produces answers straight away and in detail, because the answer works in their favour. A company that coordinates answers in terms of trusted partners. Neither answer is wrong in itself. You just need to know which one is true, because it decides who picks up the phone at 11pm the night before the doors open.

3 things any real exhibition stand builder can show you

The workshop on a working day. With dust and people in it, not a corporate video.

Production photographs from a recent project. Not renders. A render shows the intention, a photograph shows the execution, and the gap between the two is exactly the craft you are paying for.

The number of people in production and the machines. CNC, metalwork, large format print, SEG textile systems. A real producer lists them without hesitating.

Why 2 quotes for the same stand differ by 40%

Because one of them does not include everything. That is almost always the explanation, not the quality of the materials.

Ask every supplier to price separately, design with the number of revisions included, materials with a concrete specification, labour, transport both ways, installation and dismantling with how many people and how many days, graphics, electrical work and the organiser’s technical fees.

If a line does not appear in the quote, it is not free. It appears later, when you can no longer change supplier. The same pattern shows up in what an exhibition stand really costs by floor area, where the big differences come from what is missing rather than what is visible.

The 2 dates to get in writing

When the stand is fully installed on site. Not when it leaves the workshop, not when it arrives in the city. Installed, with the lights on.

The last day you can still request a change. After it, any change costs time or money. It is the most useful date in the whole project and almost nobody asks for it.

Who runs the installation

This is usually where it breaks. On site, decisions are made in minutes, not days. A panel does not fit. A socket is somewhere other than the plan. The organiser asks for something different at height.

If the person on the floor does not know the project and has no authority to decide, every detail turns into a chain of phone calls. And the chain breaks in the evening, when nobody answers.

So ask who runs the installation, whether they are on the builder’s own payroll, and whether it is the same person you discussed the design with.

Every venue publishes its own build-up rules and hall access times. Check them early, for example through the exhibitor resources of UFI, the global association of the exhibition industry, and ask your supplier to confirm in writing that they comply.

If the show you are going to is outside Romania, the venue changes the rules more than the supplier does. We mapped the reference fair for each industry, and the 3 that share 1 venue in Barcelona, in exhibition stand builders in Europe and where companies actually exhibit.

Frequently asked questions

How do I tell whether an exhibition stand builder really produces?

Ask for the workshop on a working day, production photographs from a recent project, and the names of the machines. A producer answers concretely. A middleman answers in terms of partners, without naming anything.

Is it a problem if the supplier subcontracts?

Not in itself. On projects abroad, building partly on location is sometimes cheaper than transport. The problem is when you are not told, because then you do not know who is responsible on installation day.

How many quotes should I ask for?

3, but on the same written brief. A different brief for each one makes the quotes impossible to compare, and you lose the entire reason for asking more than one.

What matters more, price or deadline?

The deadline. A cheaper stand that arrives a day late costs more than the price difference, because you lose the first day of the show.

Read next

Once you have decided who builds, the next decision is the system, custom or modular exhibition stands.

Come and see the workshop before you sign

An hour in the workshop tells you more than 10 pages of company presentation. You see the machines, the people and a project in progress, then you decide.
