Exhibition Stand Builders in Europe, and Where Companies Actually Exhibit
Key takeaways
- 3 of Europe’s largest trade fairs, ICE, ISE and IBTM World, all run at the same venue, Fira Barcelona Gran Via.
- 4 of the 12 reference fairs in this guide are in Barcelona, which is why freight and hotel prices there peak in the same 2 months every year.
- Under roughly 20 square metres a modular stand usually travels cheaper than it builds locally. Above that, local production starts to win.
- The venue never builds your stand. It publishes the exhibitor manual and approves your design, and you appoint the contractor.
Where do European companies actually exhibit?
A calendar tells you when. A map by industry tells you where to go if you sell what you sell.
This guide is both. It lists the reference trade fair for 12 sectors, then covers what changes once the show is outside your own country.
Most companies that search for exhibition stand builders Europe wide have already paid for the floor space and left the stand until last. The order below is the one that saves money.

The reference trade fair, by industry
The rule is simple. Go where your buyers, your competitors and your suppliers already are.
| Industry | Where everyone goes | City |
|---|---|---|
| Pro audio visual | ISE | Barcelona |
| Gaming and betting | ICE | Barcelona |
| Meetings and MICE | IBTM World | Barcelona |
| Telecom and mobile | Mobile World Congress | Barcelona |
| Automotive and aftermarket | Automechanika | Frankfurt |
| Medical | MEDICA | Düsseldorf |
| Industrial | Hannover Messe | Hannover |
| Food | SIAL | Paris |
| Environment | Pollutec | Lyon |
| Tourism | ITB and WTM | Berlin and London |
| Events industry | IMEX | Frankfurt |
| Romanian market | Romexpo | Bucharest |
4 of the 12 are in Barcelona. That is why the city has one of the deepest benches of exhibition stand builders Europe has, and why the rest of this guide uses it as the worked example.
We have built at shows on this list and at Romexpo in Bucharest, so the comparisons below are not theory.

The 3 fairs that share 1 venue in Barcelona
All 3 run at Fira Barcelona Gran Via. Same halls, same build-up rules, same loading docks.
| Show | Sector | Next edition | Venue |
|---|---|---|---|
| ICE Barcelona | Gaming and betting | 18 to 20 January 2027 | Fira Barcelona Gran Via |
| ISE, Integrated Systems Europe | Pro AV and systems integration | 2 to 5 February 2027 | Fira Barcelona Gran Via |
| IBTM World | Meetings, events and MICE | 17 to 19 November 2026 | Fira Barcelona Gran Via |
2 details people get wrong. ICE ran in London for years and moved to Barcelona only recently, so older advice about the London venue no longer applies.
IBTM World is the show many people still search for under its former name, EIBTM.
Editions move. Confirm the dates with the organiser and with Fira Barcelona before you commit to anything.
The exhibition stand builders Europe exhibitors keep going back to are simply the ones who have worked in that hall before, and it shows on the first submission.

Who decides what, the venue or you?
This is the part first time exhibitors miss, and it costs them money.
The venue does not build your stand. Fira Barcelona, Messe Frankfurt and Romexpo all publish an exhibitor manual and then approve or reject what you submit. Comparing exhibition stand builders Europe wide, or against a crew you bring from home, is entirely your call.
The manual sets the hard limits. Maximum height, rigging points, floor loading, fire ratings, how many build-up days you get and which hours the loading dock is yours.
Approval is a deadline, not a formality. Drawings and a method statement go in weeks ahead. Miss that window and you build to a reduced spec or you do not build at all.

What changes when you exhibit abroad
3 things, and all 3 land on the budget.
Transport stops being a rounding error. For a structure of your own going to Spain or Germany and coming back, freight both ways can exceed the difference between building there and building at home.
Technical rules are not portable. Permitted heights, rigging, floor loading and fire resistance differ by venue. A design signed off in Romania can be refused in another hall.
Build-up windows are short and enforced. Large complexes run several halls at once and hand out access by the hour, not by the day.

How to prepare before you book the space
Almost every expensive surprise at an international show comes from doing these 3 things in the wrong order.
1. Read the exhibitor manual before you choose the plot. It already tells you the maximum height, whether you may rig from the ceiling, the floor loading and how many build-up days you get. A corner plot you cannot build 4 metres high on is worth less than an inline plot you can.
2. Decide ship or build local before the design, not after. A design drawn for a travelling modular kit and a design drawn for on-site joinery are 2 different drawings. Choosing the format afterwards costs you 2 to 3 weeks of redrawing.
3. Lock the freight window before production starts. Hall access at Fira Gran Via and the other large venues is allocated by the hour. The production plan has to end before that hour, not near it.
Ship the structure, or build it locally?
This is arithmetic, not principle. Add freight both ways plus accommodation for the install crew, then compare that against producing the same stand near the venue.
Under roughly 20 square metres a modular structure travels well, because it packs flat and 1 van covers it.
Above that, and especially with custom joinery, local production starts to win on cost and on risk. If you are still choosing between the 2 formats, we broke it down in custom or modular exhibition stands.
Most exhibition stand builders Europe exhibitors approach will quote local production by default, because it is easier for them. Ask for both numbers.
The cost nobody models is the second trip. A structure that goes to 3 shows in a year is cheap per show. A structure that goes to 1 show and then lives in a warehouse is the most expensive thing you can buy.

Frequently asked questions
Who are the exhibition stand builders Europe exhibitors use at venues like Fira Gran Via?
The venue does not build stands. It publishes the exhibitor manual and approves designs. You appoint your own contractor. The exhibition stand builders Europe exhibitors end up using are either companies local to that country or crews that travel in, like us.
Who builds exhibition stands for Romanian companies exhibiting in Europe?
Either a contractor local to the venue, or a builder from home that travels with its own crew. Romanian companies most often use the second, because the brief, the drawings and the invoice all stay in 1 language and 1 contract.
Can a Romanian stand builder work at a German or Spanish venue?
Yes. There is no rule stopping it at Fira Barcelona, Messe Frankfurt or Messe Düsseldorf. The venue requires an approved design, a method statement and crew that follow the hall safety rules. Some halls also require their appointed supplier for rigging and power, which is in the manual.
How far in advance should I start for an international trade fair?
Space first, as soon as the floor plan opens, often 9 to 12 months out for the big shows. Design approval next. Production last.
Is it cheaper to build in Romania and ship the stand to Barcelona?
Sometimes. Under about 20 square metres and modular, more often than not yes. On a larger custom build the freight, the crew accommodation and the extra build-up days usually cancel the saving.
How much does an exhibition stand in Barcelona cost?
There is no honest single figure. The 4 things that move it are floor area, modular against custom construction, how many build-up days the venue allows and transport. We quote per project from a written brief and we put the assumptions in the quote.
Do I need a local contractor for ISE or ICE Barcelona?
No. Not all the exhibition stand builders Europe shows attract are local, and it does not need to matter to you. You need one who has worked at Gran Via, which is a different question.
What does the exhibitor manual actually control?
Maximum build height, rigging points and whether you may hang anything at all, floor loading, fire ratings on materials, how many build-up and dismantling days you get and the hours your loading dock is open.
Do you handle transport and installation abroad, or only the build?
Both. Design, production in our own workshop, freight, on-site installation, dismantling and storage between shows.
When should I start for a January or February show?
Earlier than feels necessary. Space goes first, then design approval, then production. The full sequence is in the trade show checklist for your first show.

How Cool Promotions does it

We are the exhibition stand builders Europe clients hire when they want the drawing and the build to come from 1 company, from Romania to Spain.
We own the workshop, so the design and the production are not 2 separate suppliers blaming each other.
For the shows on this map that means 1 point of contact for design approval, freight, installation and dismantling. The double deck in the photos above is our build for ARKA at Parcel and Post Expo, and it is in our portfolio with the rest of the project photos.
If you want to test whether a supplier really builds what they sell, the questions are in which exhibition stand builder actually builds your stand.
Tell us which show you are going to
Send the show, the stand size and the plot shape. You get back a concept and a number, not a brochure.
That applies whether you are comparing exhibition stand builders Europe has to offer or you need a crew at 1 specific hall on this map.
